Office Supplies
Office supplies can be considered a variable expense
for our intents and purposes. Supplies are just
dispensable materials required to operate your business
ie. tissue, paper towels, file folders, etc. Do not
spend an excess amount of time trying to save pennies on
supplies; you have better things to do with your time.
You will need most of the items listed below. Some
can easily be found online at Sycom
while others will have to be ordered from their
catalog. Just request one be mailed to you.
Shelving system for
patient charts
End-tab folders with fasteners for patient charts
Alphabetizing Stickers for patient charts
Appointment book (if not using
computer and scheduling software)
Appointment cards
Receipt book (if not using POS
software)
HCFA forms for billing (if doing
your own billing)

Key to Success!
You need supplies to operate, however,
they play little importance in contributing to your
bottom line--a business generating reputation. If you
have a poor supply management system, however, it can
hurt your operations and reputation. So follow these
steps for success:
- Supply ordering should be the
responsibility of one person.
Do not spend a lot
of time trying to save pennies on products.
Choose a supply vendor that is
convenient and offers quick delivery! If they
make the ordering easy, you save time! And if they
offer quick delivery they will get you out of
binds! It's well worth it to pay a few dollars
more.
Make a list of needed supplies
broken down by "clinical" and "office"
Early on calculate an average
dollar figure of monthly supply costs.
Prioritize the list
according to immediate need
Don't use too many
different vendors (think convenience and simplicity)
Online ordering is
best, if possible
Keep a vendor
contact list along with the supplies associated with
that vendor
Keep list on
Quickbooks, or on an excel file
Install a procedure
which will allow any staff member to place an order
(e.g. use purchase orders)
Make sure all your
staff know of this list and how to order when needed
